Think about your current management processes: what do you spend most time at? What could be automatized? A management software (commercial, open access or home-made) can help you and give you more time, which you can then invest for development, research quality improvement or customer service. Another advantage is that all information will be centralised, interconnected, traceable and searchable.

Additionally, keep records of all your samples, reagents, freezer content and so on in (Excel) databases, including all necessary information and the location of the items.

There are 2 types of management software, which are complementary: 1) CF management software and 2) data management software (see scheme). Fully integrated solutions also exist.

CF management software
This type of software manages the communication with the users, the user database, the training records, the equipment booking and billing. Information and documentation regarding the experimental procedure can be added but they don’t specifically deal with this aspect. The 4 most used are:
* Open IRIS is an open access software.
* PPMS from Stratocore
* iLab from Agilent
* Agendo from CKLO

Data management software
This type of software focuses on the documentation of the experimental procedures. There are two different subtypes:
* electronic lab books (ELN)
* Laboratory Information Management System (LIMS) are usually linked to lab equipment.

Examples:
* STOCKS (open access) In addition to be an ELN, STOCKS contains also many other integrated modules (e.g. lab collections, inventory, ordering, protocols, samples, datasets). It is flexible and can be programmatically customised and expanded.
* commercial Electronic Lab Notebooks (ELN)
* Microsoft OneNote can also be adapted to be used as an ELN.

Advantages:

ELNs have multiple advantages over traditional documentation. ELNs ensure documentation is complete, precise, relevant and easy to read. The data is structured, files and images can be uploaded to each entry, links and handwritten notes can be added, and cross referencing is easy. Information is organised, it can be easily tagged, searched and retrieved. ELNs improve data traceability. Entries can be edited and corrected, with an automatic edit and version history of any changes to guarantee integrity. ELNs are flexible, expandable, can be shared with collaborators, backed up and take less space to store!
Fully integrated systems
These are CF management software and ELN combined in a single system, making data traceability even easier.

Examples:
* newLab from Keralia is free for small academic core facilities.

Criteria for a good software
* easy implementation and maintenance
* cheap
* secure (protected from hacking) on local network
* doesn't allow the modification of raw data
* imports metadata
* transfers data automatically
* user friendly, practical, daily use
* time gain and not time-consuming
* operating system independent
* flexible: customization to the CF needs
* allows the addition of extra modules (e.g. user database, booking, billing, ordering, budgeting)
* compatible and integrable with other software
Fully integrated systems
These are CF management software and ELN combined as a single solution.

Examples:
* newLab from Keralia is free for small academic core facilities.

Criteria for a good software
* easy implementation and maintenance
* cheap
* secure (protected from hacking) on local network
* doesn't allow the modification of raw data
* imports metadata
* transfers data automatically
* user friendly, practical, daily use
* time gain and not time-consuming
* operating system independent
* flexible: customization to the CF needs
* allows the addition of extra modules (e.g. user database, booking, billing, ordering, budgeting)
* compatible and integrable with other software

Think about your current management processes: what do you spend most time at? What could be automatized? A management software (commercial, open access or home-made) can help you and give you more time, which you can then invest for development, research quality improvement or customer service. Another advantage is that all information will be centralised, interconnected, traceable and searchable.

Additionally, keep records of all your samples, reagents, freezer content and so on in (Excel) databases, including all necessary information and the location of the items.

There are 2 types of management software, which are complementary: 1) CF management software and 2) data management software (see scheme).

CF management software
This type of software manages the communication with the users, the user database, the training records, the equipment booking and billing. Information and documentation regarding the experimental procedure can be added but they don’t specifically deal with this aspect. The 4 most used are:
* Open IRIS (open access)
* PPMS from Stratocore
* iLab from Agilent
* Agendo from CKLO

Data management software
This type of software focuses on the documentation of the experimental procedures. There are two different subtypes:
* electronic lab books (ELN)

All aspects of research quality are presented on this page. Each aspect contains 3 parts:
* in the first one is a test to assess one’s strengths and weaknesses in this area (5-6 questions)
* in the second one are recommendations how to improve this specific aspect
* in the third one is a download centre to share concrete files and templates.

To find a balance between quality and cost, define which steps of the experimental procedure should be checked before proceeding to the next one in order to maximize data quality while keeping the procedure manageable (timewise and cost-wise).

Implement checkpoints at strategic steps of the experiment so that they are most effective at monitoring quality in order to achieve rigorous and reproducible results.

The following checkpoints are especially important. At these steps, the process should be checked (by the core facility or PI or another scientist, depending on the discussed responsibility distribution) and can only proceed if it passes quality control.

Checkpoints
Recommendations
Experimental design
CFs should provide information and advice on the experimental design and encourage their users to follow good research practices. Experimental design should be checked by the CF or PI or another scientist before proceeding further to ensure the results will be meaningful and to avoid waste of money and resources. Ill-designed projects should be rejected.
Sample quality
CFs or PI or another scientist should control sample quality before starting data acquisition and reject poor samples. Were the samples prepared optimally? Are all relevant controls included?
In case of limiting or rare samples, CFs should discuss with their users what consequences the sample quality will have on data interpretation and if the experiment should continue.
Data analysis
CFs and PIs should decide who will be responsible for checking the correctness of data analysis to avoid misinterpretation and bias.
Publication
CFs should be informed before the data produced at the CF are submitted for publication to have a last possibility to check them if they wish to. The CF should have the right to check and validate the relevant figures before publication.

The quality checkpoints are part of the implementation process of the EQIPD Quality System in CFs. When setting up the quality system with the provided tools (i.e. Planning Tool) CF leaders can include the "EQIPD NEED" in their system.

Training is very important. It should include all aspects relevant for the user, e.g. overview of the whole procedure, theoretical aspects, good scientific practice, experimental design, sample preparation, controls, techniques, protocols, instruments usage, raw data acquisition, data analysis, limitations, safety, using SOPs, rules to follow.

It can be delivered in person (one-to-one or in groups), in writing (handbooks) or virtually (videos). Hands-on training is very important as it is the only way to transmit tacit knowledge.

Keep training records for all users. Booking and billing of training can be integrated in the management software.

Regarding the pricing, there are 3 possibilities to consider:
* price per training
* or flat-rate
* or price included in the experiment price.
A price per training may seem fairer but research groups could be saving on it and therefore not receive the training needed to guarantee optimal experimental quality. A flat rate might seem unfair because not all experiments may require the same amount of training. Including the training cost in the experimental cost might be a fair solution and prevent PI saving on it.

The EQIPD guidance for users of CF is a comprehensive collection of information created by a working group describing important aspects users should follow.

There are many possibilities how to improve research quality:
* Use a management software and ELN to improve efficiency and traceability.
* Maintain the equipment, keep up with technology, automate processes.
* Provide training and visit conferences/workshops
* Set up and regularly improve SOPs, data management and documentation.
* Organise an audit or a yearly review of the CF processes
* Provide CF staff feedback and user’s feedback
* Set up a quality system and get a quality accreditation,

Audit / Review

A yearly audit from external colleagues or a self-review with all the CF staff will allow you to reflect on your performance, identify and solve problems together and think of possible improvements (the Self-assessment by EQIPD can give guidance). You should cover the following topics:
* Past: check the implementation status of the previous year’s resolutions and assess their usefulness.
* Present: review the current processes.
* Future: identify improvements to implement in the coming year.
Write a summary of the session, including the findings, solutions and responsibilities. And don’t forget to schedule the next year meeting.

Provide written SOPs and protocols (can be uploaded in protocol repositories like http://www.bio-protocol.org/ or http://www.protocols.io) for reproducibility and transparency. Protocol videos can also communicate tacit knowledge . Make clear which parts of the protocols can be modified and which ones cannot (and why).

Provide guidance how to increase the quality and robustness of the research outcome (in person, in writing).
Make sure the reagents were checked and the equipment is maintained and calibrated.

Use common data standards (eg ALCOA or FAIR) from your field. Uniform data (and metadata) allow compatibility and interoperability. They can be easily read, searched, compared, reused and interpreted by other labs.
Provide detailed information for writing the “materials & methods” section of a publication (or thesis) so that experiments can be replicated. Do not write the method was “as previously described” if you made small changes. You can upload your step-by-step protocol in a repository (for example https://www.protocols.io).

Instruct the users that they should inform the CF before submitting a manuscript containing data acquired at the CF. The CF should be given the possibility to check the relevant sections and validate the corresponding figures before publication. This is the last opportunity for the CF to check data quality. Over 90% of CFs believe that the quality of published data would improve if they were involved:
* “ensures correct understanding and an accurate account of what happened.”
* “[CF] can view the data unbiased”.
* “It is the policy of our institute that all data generated through platforms is checked by the platform staff/head before publication”.
For whom is Q-CoFa?
This site is mainly targeted to core facility leader but the infirmation is also useful to core facility staff and users.

Mission of Q-CoFa
This website presents a compilation of practical recommendations on how to ensure research quality in core facilities. The ideas and proposed solutions address all aspects of research quality in core facilities. They are applicable in general or can be adapted to the specific needs of your core facility.

Why is an accreditation important for research labs?

An accreditation is the recognition that required practices are implemented and maintained. It shows independent parties that an organization works according to well established practices and brings confidence and trust in a facility.

They can also be seen as a good and helpful exercise to reflect on our own behaviours. Like a mirror, they identify gaps or aspects to improve within a given research unit. Seeing it in such a way, an accreditation is like a tool to develop further instead of being seen as a burden.

Several quality systems are available and we describe four in greater detail:

* ISO9001

* EQIPD Quality System

* Premier

* Good Laboratory practice (GLP)

These quality systems fulfil slightly different purposes and depending on the situation they might be a requirement, whereas others could indeed be just a tool for a research group to improve their organization and systematic procedures. If a core facility is mainly looking for such systematic procedures, the ISO9001 standard might be the first choice to look into. For core facilities with a purely academic orientation the newly developed EQIPD and PREMIER quality systems might be more relevant.

Provide written instructions or supervision on how to operate each equipment, Write the name and phone number of the responsible person next to each equipment in case the user experiences a problem.

It facilitates metastudies .

Be available for troubleshooting (ideally, do not charge extra for it but include its cost in the basic fare).
